REGULATIONS

Art 0.- ORGANISATION COMMITTEE. Development Agency. Tineo Town Council. Industrial State La Curiscada 33877 Tineo Asturias-España.

Art 1.- DURATION. Asturforesta 2009 will be held in the Armayán Woods, in Tineo from the 18th to 20th of June, 2009. In the event of unpredictable situations, dates and place are subject to modifications with compensation at all. The Fair is open to the public from 10:00h to 20:00h, except for Saturday 20th when the fair is scheduled up to 19:00h. Circulation of vehicles is strictly forbidden in the Fair during the opening hours.

Art 2.- DISTRIBUTION OF ZONES. The Fair comprises three exhibition sections:
A.- Outdoors section. It is composed of 10 meters depth and plots all located in an outdoors section. The front varies from 5 meters and upwards.
B.- Indoors section. It consists of a section with Jaima tents 5x5 meters with possible variations as shown on table below.
C.- Demonstration section. The Fair has an area fully dedicated to the demonstration of machinery and exhibition equipment. The conditions are adjustable due to the various forestry activities taking place. Any expositor wishing to run any kind of machinery needs to point it out in the registration form together with the machinery to be used and the required conditions for such a demonstration.

The price of the tent includes:

In proportion to your stand surface, you are entitled to a number of free invitations for your clients, to an exhibitor entrance badge, an exhibitor parking pass and an exhibitor parking pass to the stand:

ART 4.- MARKETING DISTRIBUTION.
Outdoors (Plots): Only products related with the forestry industry will be allowed : machinery, tools, accessories, protection clothes, etc. Indoors (stands): Consulting, institutions, forestry tools.

ART 5.- MULTIPLE RISK INSURANCE. An insurance free of charge for the exhibitors will be provided by the organisation. Such insurance will cover fire , explosion, robbery risks and damage of the equipment by atmospheric factors. It comprises a liability section. The insurance policy will only cover robbery occurring during the time the Fair is closed to the public. Thus, it is the responsibility of the exhibitor to watch for the plot/tent while the Fair is open to the public. In order to benefit from the coverage of this insurance, the exhibitor must submit -before April 10th- a full inventory of all products and equipment together with their correspondent value.

ART 6.- SAFETY REGULATIONS.
6.1.- Fire Protection. It is forbidden to start fires. Likewise the disposal of waste fluids such as fuels , oils, etc is strictly forbidden. All companies with machinery demonstrations must be equipped with fire extinguishers.
6.2.- Security.- The exhibition of any product sensitive to cause harm to visitors, service staff of exhibitors is strictly forbidden. All those exhibitors wishing to run demonstrations must be equipped with a security and protection system for the public. The exhibitors will be responsible of any harm, they cause, due to their negligence, to the visitors, the organisation or other exhibitors, especially if it is within their own demonstration plot. In that case, exhibitors must be duly equipped with the correspondent security staff for such operations by 150.253,03 Euros minium.
6.3.- Inspection.- In any case, Asturforesta is entitled to run an inspection at any time on the facilities and demonstrations. Likewise, the organisation can force the exhibitor to either withdraw certain products or embrace the security instructions Asturforesta considers convenient.

ART 7.- ADDMISSION AND BILLING. The procedure to hire a stand/services will be as follows: An official application form will be issued by the Fair Organisation to all those interested in participating. The application should be duly filled out and sent back to the Fair Organisation before April 10th, 2009. In Order to formalise the registration, the applicant must pay a fee of 50%( the registration) . This amount should be deposited into our current account n°2048-0015-29-0340016673, in Caja Asturias. Then the deposit receipt together with the application form should be sent to the Organisation. Once received, the fair will distribute the sections and will notify the exhibitor his/her admission and consequently the space the exhibitor has been assigned. Furthermore a notification of payment totalling the cost of the stand and other requested services, the previously deposited amount (50%) being deducted, will be issued to the applicant. With such a notification the applicant should deposit the correspondent amount of money into same account before May 8th, 2009, by clearly indicating the concept of the payment: "Participacion en ASTURFORESTA" (Participation in ASTURFORESTA), as well as the full name or name of company. The bank in which the payment was made will provided the applicant with a sealed copy of the deposit slip. This copy will act as a bill for all legal purposes. The exhibitor is to mail to the organisation the bank slip copy that reads “Ejemplar para el Ayuntamiento”(Copy to the Town Council). In the event the payment for the stand and other requested services is not deposited before the deadline. ASTURFORESTA organisation can freely use the stand and requested services, retaining by all means the registration fee. Once the payment covering the cost is received. The exhibitor cannot be reimbursed if by any reason he/she is unable to participate.

ART 8.- THE SPACE: NOT TRANSFERABLE. SUBTENANCY FORBIDEN. Partial or complete cession of the stand and requested services to a company, which is not the registered one, is strictly forbidden. However, if it comes to a enterprise running related forestry activities, ASTURFORESTA can, upon request on the part of the interest, authorise partial or complete session of the stand and requested services.

ART 9.- INSTALLATION OF THE STAND. Participants are allowed to start installations of their stands from 8:00h onwards the 15th june, 2009. Installation time is from 8:00 to 20:00, and no material is allowed after 22 hours.

ART 10.- WITHDRAWAL OF PRODUCTS AND EQUIPMENTS. Withdrawal of exhibition materials is not allowed before 21:00h, Saturday 20th, 2009. The non-accomplishment of this policy will result in the impossibility to participate in further editions of the Fair.

ART 11.- SEGURITY SERVICE. Since the very beginning of the period of installation there is a segurity service that will guarantee the integrity of the material and items being installed. The organisation of the fair will pay the coast of the segurity service from the very beginning of the period installation to the withdrawal of products and items. The segurity service will look after the material and equipment during the period of time that the fair is closed to the public, being the exhibitor’s responsability to look after his/her stand when the fair is open to visitors. The organisation of the fair will provide a segurity service so as to keep the order in all common public areas when the fair is open to visitors.

ART 12.- TELEPHONE SERVICE. Telephone cabins will be available for public use inside the fair. The fair organisation will also provide a telephone, fax and photocopy service only for the use of exhibitors.

ART 13.- CLEANING SERVICE.- The organisation will provide the cleaning service of halls and common areas with no extra cost of the exhibitors./p>

ART 14.- MEDICAL ASSISTANCE. An on-premises medical assistance unit will be provided during the whole event.

ART 15.- LOADING AND UNLOADING SERVICE. The organisation of the fair will provide an area inside the fair in order to facilitate the loading and unloading of equipment and other items.

ART 16.- LOUDSPEAKER SYSTEM. The Fair will have a Loudspeaker system through which the organisation will timely inform exhibitors and visitors about the different activities taking place at the Fair.

ART 17.- BUSINESS AND CONFERENCE ROOM. There will be a well equipped and furniture room at the disposal of those exhibitors for negotiations and private meetings with customers.

ART 18.- THE FAIR INFORMATION OFFICE. There will be an office, where participants can address all queries before and after the Fair. It will be permanently opened from 8:00h to 15:00h. During the event , this office will be located within the Fair premises. It will be open from 9:00h to 21:00h with no interruption.

ART 19.- OTHER ACTIVITIES. In order to make your product more attractive to the visitors, there will be complementary activities such as contest, talks, conferences, etc. It is worth mentioning that exhibitors wishing to run these kind of activities need to accordingly issue a written explanation of the content of their talks to the Fair office before April 17th, 2009.
